An offshore customer support team lets a UK business answer every call, email and chat during UK hours without hiring, housing and managing a local support department. Done well, your customers cannot tell the difference: the same tools, the same tone and the same response times, from people who work only for you.
This guide covers what an offshore support team does, how it covers UK hours, what UK data protection law expects, what to compare on cost, and the questions to ask before you choose a provider.
What an offshore customer support team handles
- Email and help desk tickets, worked through your own help desk.
- Live chat and social messaging during your opening hours.
- Inbound calls and outbound follow-ups, using your phone system.
- Order, booking, delivery and account queries.
- Escalating complex or sensitive cases to your in-house team, following rules you set.
Most UK businesses start with email and chat, where written accuracy matters most, then add phone cover once the team knows the product.
Covering UK hours, including the clock changes
Your team works UK business hours, so a customer who emails at 9:00 gets an answer that morning, not the next day. When UK clocks change on the last Sunday in March and October, the team's shift moves with them, so cover still starts at your 9:00. Our time zones guide explains how this works for each market.
If you serve customers outside the UK as well, shifts can be staggered so evenings or weekends are covered too.
Dedicated team or call centre?
| Dedicated team | Shared call centre / BPO | |
|---|---|---|
| Who agents work for | Only your business | Several clients at once |
| Product knowledge | Builds up over months | Usually limited to a script |
| Tools and data | Your help desk and accounts | Often the provider's systems |
| Pricing | Fixed monthly fee per person | Often per call, minute or ticket |
| Best for | Ongoing support with a consistent voice | Overflow or very high, simple volume |
For most growing UK businesses, a dedicated team gives more consistent quality, because the same people handle your customers every day. Our guide to freelancers vs a dedicated team covers the other common option.
UK GDPR and customer data
Under UK GDPR, your business stays responsible for your customers' personal data, even when someone else handles it. That means you need a written data processing agreement with your provider, and safeguards in place for any transfer of personal data outside the UK.
In practice, the safest set-up keeps customer data inside your own systems. Your agents log in to your help desk and CRM with accounts you control and can switch off at any time, work from a supervised office on company equipment, and sign confidentiality terms. Our data security checklist lists the controls to check, and the ICO's guidance on international transfers explains the legal side.
What to compare on cost
Compare the full cost of a local hire with the full monthly fee of an offshore team member, not just the salary. A local support agent costs salary plus employer's National Insurance, pension contributions, recruitment fees, equipment, office space and management time. A managed offshore team member is usually one monthly fee that covers recruitment, payroll, HR, office, equipment and supervision.
Ask every provider exactly what their fee includes. Our guide to what a managed team includes sets out the checklist.
Questions to ask a provider
- Will the agents work only for my business?
- Do they work from a supervised office or from home?
- How do you test spoken and written English before placement?
- Will they use our help desk, phone system and CRM, with accounts we control?
- Who handles HR, payroll and cover for sickness and holidays?
- Is there a probation period, and what happens if an agent is not the right fit?
How to get started
Start with one or two agents on your highest-volume channel, usually email or chat. Write down your tone of voice, common answers and escalation rules, give the team access to your tools, and review quality weekly for the first month. Add phone cover and more agents once response times and customer feedback are where you want them.
